Record keeping in big hotels and bars is a key system used to prevent losses, control stock, and reduce theft. Large establishments use both digital systems and manual procedures to track every item that enters and leaves the business. The first step is installing a Point of Sale (POS) system, where every drink, meal, or service is recorded at the time of sale. This creates accurate daily reports showing what was sold, at what time, and by which employee. Managers can quickly detect unusual patterns such as voided sales or repeated discounts.

Hotels and bars also keep strict inventory records. Alcohol, food supplies, and cleaning items are counted daily or weekly. Stock levels are compared with POS sales to ensure no extra bottles or food items are missing. Many large hotels use barcode scanning to track stock movement from the store to the bar or kitchen.

Additionally, staff access is controlled. Only authorized workers can enter stock rooms, and all withdrawals must be signed for. Security cameras are placed in key areas to monitor behavior. Financial records such as receipts, supplier invoices, and cash reports are reviewed each day by supervisors or accountants. These combined systems ensure transparency, prevent theft, and keep the business financially healthy.
